Office Furniture Buyer FAQ: MOQ, Lead Time, Shipping and OEM

Updated

Straight answers to what procurement teams ask before ordering: minimum order quantities, production capacity, shipping, certifications, OEM customization and after-sales. Where an answer depends on your project, your quotation confirms the exact figure.

Ordering

What is the minimum order quantity (MOQ) for office furniture from Omni?

Omni's MOQ starts at 2–5 pieces or sets per model for standard products, as shown on its Alibaba listings, so trial orders and LCL shipments are welcome. Unit prices drop in volume tiers, and one container can mix series, finishes and accessories. Custom colors and OEM products carry a minimum per color or model that depends on the product; exact terms are stated on the quotation. Send the series, quantities and destination port with your request.

Can I mix different products and finishes in one container?

Yes. Omni accepts mixed-SKU containers: desks, panel systems, tables, task chairs, power modules and monitor arms can share one 20', 40' or 40' high-cube container, because all of them are made within the Omni group. The logistics team plans the load by carton volume and weight and sends a loading plan with the quotation. List the quantity per SKU in your RFQ.

How do I request a quote from Omni?

Request an Omni quotation through the RFQ form, weiben.zhang@omnidesking.com or WhatsApp at +86 139 0527 3603, including models, quantities, finishes, destination and target delivery date. Omni's sales team is available seven days a week, and a sales engineer replies within one business day with questions or a first price. A formal quotation with specifications, packing data, lead time and warranty follows once the configuration is agreed.

What information should I include in an RFQ for office furniture?

A complete RFQ lets Omni quote in one round. Include: the series or model codes and quantity per SKU; required finishes, colors and sizes; destination country and port; preferred Incoterm; target delivery date; certifications needed, such as BIFMA, UL or a regional plug standard; floor plans or drawings for project work; and any branding or packaging requirements. State whether you are a dealer, an OEM brand or a project buyer.

What payment terms does Omni offer?

Omni's standard payment terms are a 30% T/T deposit when the order is confirmed and the 70% balance before shipment. Letters of credit (L/C) at sight are also accepted, and PayPal or credit card can be used for samples and small orders, as listed on Omni's Alibaba trade page. The payment schedule, currency and bank details are written on the proforma invoice.

Does Omni provide samples before a bulk order?

Yes. Omni supplies samples of standard products in 3–7 days and custom-finish samples in 7–15 days. The buyer pays the sample cost and courier freight, and the sample cost is credited against the confirmed bulk order. For OEM products with new tooling, a pre-production sample is built for your written approval before mass production starts. Ask the sales engineer for the sample price of your model.

What support does Omni give dealers with space planning and product data?

Omni builds its range for dealers and design professionals, and its sales team, available seven days a week, brings space-planning and cross-border shipping experience. Send your floor plan or layout and the sales engineer proposes configurations from the series list, for example benching plus a power beam for an open-plan floor. Product images, specification sheets, layout drawings and the 137-page lookbook are supplied for your sales and tender work.

Production & Lead Time

What is the standard lead time for an Omni order?

Omni's standard lead time is 25–30 days from deposit for standard products in standard finishes. Custom finishes and sizes take 35–40 days, and Quickship items ship in 7–15 days from stock. With capacity of about 45 containers a month, large orders are scheduled across group plants in parallel. In peak season, book your production slot early; the confirmed ship date is written on the proforma invoice.

How long does a custom or OEM order take compared with a standard order?

Custom finishes or sizes on existing Omni models take 35–40 days from deposit, about 10 days more than the 25–30-day standard schedule. Co-developed products that need new tooling add about 30 days for tooling and pre-production sample approval before mass production starts. The sales engineer issues a dated project schedule once the specification is frozen.

Does Omni offer a Quickship program?

Yes. Omni's Quickship program covers selected series in standard finishes, including AO2 panel systems and SOLE height-adjustable desks, and Quickship orders ship in 7–15 days from stock. Stock levels change, so confirm availability for your SKU and quantity when you request a quote. Custom finishes follow the 35–40-day custom schedule.

What is Omni's production capacity?

Omni has production capacity for about 45 containers of furniture per month across 60,000 m² of factory area. Steel products are made at the Yangzhou headquarters plant, wooden products at the Intelligent Manufacturing center in Rugao, Nantong, and power-access products and control systems at group plants in Yangzhou. With 280 products and 150 global patents in one group, large mixed orders are scheduled across plants in parallel.

Where are Omni's factories and can I visit?

Yes. Omni welcomes factory visits. The headquarters and steel products factory is at No. 9 Yinbai Road, Hanjiang Industrial Park, Yangzhou, Jiangsu, China; wooden products are made in Rugao, Nantong, and the sales and R&D center is in Shenzhen. Send your travel dates and the sales team arranges the agenda and airport pickup from Yangzhou, Nanjing or Shanghai.

Shipping & Logistics

Which Incoterms and loading ports does Omni typically use?

Omni quotes FOB as standard, from Shanghai, Ningbo or Yangzhou, the nearest ports listed on its Made-in-China profile. EXW, CIF and DDP quotations are available on request for your destination. The Incoterm decides who pays freight, insurance and import duties, so compare landed costs from different suppliers on the same basis.

How is Omni furniture packed for export?

Omni ships desks, panels, tables and benching knocked down (KD) in flat-pack export cartons to maximize container fill, with hardware bagged and labeled and assembly instructions included. Task chairs and accessories are packed in individual cartons. Private-label cartons with your branding are part of the OEM program. Carton dimensions and weights for each model are listed on the quotation.

Does Omni help plan container loading?

Yes. Omni's logistics team prepares a loading plan from carton volume and weight to fill a 20', 40' or 40' high-cube container, and mixed-SKU loads are planned the same way. Loading photos are taken before the container is sealed and sent with the shipping documents. Omni complies with C-TPAT supply-chain security criteria, which matters for US-bound containers.

Which countries does Omni ship to, and what shipping documents are provided?

Omni ships to dealers and projects in more than 20 countries; North America is its largest market, followed by Western Europe, according to its Alibaba trade information. Every shipment comes with a commercial invoice, packing list and bill of lading. Certificates of origin (including Form E where applicable), insurance certificates for CIF orders and product certificates or test reports are supplied on request.

Quality & Certifications

Which certifications and standards do Omni products meet?

Omni products are tested to BIFMA standards for commercial furniture, and its management systems are certified to ISO 9001 and ISO 14001. Powered panels are UL 962A / cUL listed, and electrical components carry CE, UKCA, FCC and SAA. Published certificates cover furniture power distribution units (UL-US-L511049-11-50219102-1, UL-US-2127319-0; cUL UL-CA-2122466-0, UL-CA-L511049-31-50219102-1), a portable outlet device (SAA-230349-EA), a cord extension (TÜV Rheinland R 50704161 0001) and an extension cable socket (EU Declaration of Conformity).

Are Omni desks and chairs tested to BIFMA?

Yes. Omni products are tested to BIFMA standards for commercial furniture, and the central base of the LUNA table is BIFMA certified. The applicable standard depends on the product, such as ANSI/BIFMA X5.5 for desks and tables or X5.1 for office chairs; the KUPP chair, for example, is rated to 122 kg under ANSI/BIFMA X5.1-2017. The sales engineer sends the BIFMA test report for your model with the quotation.

What quality control and traceability does Omni use?

Omni runs an ISO 9001 quality system with 13 QC stages, from incoming materials through in-process checks to a final inspection before loading, verified on site by Intertek (report 483110651_P+T). Test equipment includes withstand-voltage, ground-resistance, impact and salt-spray testers. Omni follows PPAP for OEM parts with SAP-driven production traceability, and your own or a third-party inspector is welcome before shipment.

Do Omni power modules meet US, EU and UK electrical standards?

Yes. Omni's powered panels and power modules are UL 962A / cUL listed for the US and Canada, and its electrical components carry CE, UKCA, FCC and SAA certification for the EU, UK, US and Australia. In Great Britain CE is recognised indefinitely and UKCA is optional, Northern Ireland follows EU rules, and a BS 1363 plug needs designated-body approval (see the desk power selector at /tools/desk-power-selector/). Certificate numbers for its power distribution units, outlet devices and extension products are published on the company facts page. Desktop power modules are available with US, UK, EU, CN and AU outlets, and DOCKER can be configured for California Title 24.

Can I get certificates and test reports for a specific model?

Yes. Omni publishes the certificate numbers of its UL, cUL, SAA and TÜV-certified electrical products on the company facts page, and supplies BIFMA test reports, CE, UKCA and FCC declarations and other model-specific documents with the quotation. State your market and the standards you need so the sales engineer sends the documents for your exact model and configuration.

Customization & OEM

Does Omni offer OEM, ODM and private-label office furniture?

Yes. Omni's OEM and ODM program covers private-label products, custom finishes, bespoke packaging and fully co-developed products. The group makes steel, wooden and power-access parts and control systems in its own plants, holds 150 global patents and offers 280 products, so a brand can start from an existing series or develop a new one under NDA. See the OEM and ODM page for the process.

Can finishes, colors and sizes be customized?

Yes. Every Omni series is marked 'Customization Available': frame and top colors, laminate, veneer and fabric, panel heights, desk and table sizes, logos, labels, packaging and the outlet standard on power modules. Custom-finish samples take 7–15 days and custom production 35–40 days. The minimum per custom color depends on the product; exact terms are stated on the quotation. Send a reference sample, color code or drawing with your RFQ.

Who pays for tooling, and does Omni sign an NDA?

Yes. Omni signs your NDA before you share drawings, and exclusive distribution agreements can be discussed for your territory. New molds, dies or extrusions are quoted as a separate tooling cost and credited back against your order volume once the agreed quantity is reached. Tooling you pay for is reserved for your products, and its ownership is written into the project agreement.

Can my brand go on the product and the packaging?

Yes. Omni puts your logo on the product, label or nameplate and your branding on cartons and manuals, and can apply your own model names. Its customers include brand businesses, wholesalers and retailers. Send vector artwork, label content and carton requirements with your RFQ, and packaging dimensions and costs are included in the quotation.

After-sales & Warranty

What warranty does Omni provide?

Omni warrants steel structures and height-adjustable frames, including lifting columns, for 5 years; electrical components such as control boxes, handsets and power modules, and chair mechanisms and gas lifts, for 3 years; and upholstery, foam and fabric for 1 year. Coverage runs from the shipment date under normal commercial use. Valid claims are met with free replacement parts, shipped by courier or with your next container.

How do I order spare parts and replacement components?

Tell Omni's sales team the series, model code and the part concerned, with photos; a sales engineer replies within one business day. In the US, OmniMax USA operates omnimaxparts.com, which lists office cubicle replacement and repair parts such as connectors, panels and stackers for nationwide shipping. For other markets, parts ship from China by courier or are added to your next container.

Does Omni have a US distribution center and local service?

Yes. OmniMax USA LLC operates Omni's US distribution center at 7711 County Road 513, Anna, Texas 75409. It was established in 2009 as Omni's North America product research and development and customer service center, on land of more than 200 acres acquired that year. US customers can reach it at +1 972 924 2443 or henry@omnimaxusa.com for service, parts and available stock.

What happens if goods arrive damaged or incomplete?

Report damaged or missing items to Omni within 30 days of unloading, with photos of the cartons and product and the packing list. Omni replies within one business day and ships replacement parts free of charge by courier or with your next container, or issues a credit against your next order. The loading photos taken before sealing help confirm the container's condition.
